Identify the drivetrain honestly in the booking
Give the provider the actual make, model, original market, powertrain and relevant vehicle details. Do not book an externally chargeable hybrid simply as an ordinary gasoline SUV to avoid review. The market and generation identity file helps prevent confusion across Tayron-family names. Ask the carrier or its authorized agent which additional records it needs for this vehicle and route. Keep their answer dated and attributable. If the booking describes another configuration, correct it before transport rather than hoping the difference will be ignored at the terminal.
Request route-specific instructions before preparation
Obtain the carrier’s current written requirements for operating condition, relevant fuel and battery state, alarms, keys, cables and permitted items. Do not publish a universal fuel level or state-of-charge percentage for all routes. Terminal handling, transport method and provider policy can differ. Confirm who checks compliance and where the vehicle can be refused if requirements are not met. Place unresolved questions in the booking review, not in a last-minute message to the driver. If instructions conflict, ask the responsible provider to clarify before anyone alters the vehicle’s condition.
Disclose battery and safety-relevant findings
Preserve known warnings, damage, leaks, unusual operating behaviour and qualified inspection findings. The eHybrid battery and charging assessment provides condition context but is not a transport approval certificate. Do not clear faults, conceal damage or describe an unresolved battery concern as ordinary maintenance simply to obtain acceptance. Ask the carrier and qualified workshop how the finding affects the available route. A safety-relevant uncertainty can require a different handling process or postponement; commercial pressure does not justify substituting reassurance for evidence about the actual candidate.
Arrange supported preparation and access
Use competent personnel and the vehicle’s applicable instructions for any agreed preparation. Confirm that drivers and handlers understand the normal startup, shutdown and parking controls without attempting unsupported changes to protective systems. Do not disconnect equipment casually to create a desired dashboard or battery reading. Record the working access items and how they are handed over. If the vehicle cannot be operated normally, disclose that limitation before collection and obtain the approved handling plan. A booking for a running vehicle should not quietly become a request to improvise movement of a disabled PHEV.
Keep cables and loose items under the carrier’s rules
Confirm which charging equipment, keys and documents may travel with the car and how each item must be transferred or secured. The keys and ownership handover review handles access records separately. Do not use the cabin as an unapproved parcel container. Retain a departure inventory with the receiving responsibility clearly stated. A cable that looks compatible may still be unsuitable for destination use, so describe its identification without promising approval. Keep original equipment evidence and any limitation available to the buyer even when the carrier requires some items to be shipped separately.
Create a dated condition record at transfer
Photograph the VIN, exterior, glazing, wheels, accessible cabin and agreed condition points before carrier control. Record date, location, observed warnings and the responsible person. Keep earlier buying inspections separate from the actual collection record. Retain relevant receipts and note exceptions under the provider’s procedure where permitted. A carrier receipt has its own inspection scope and should not be described as proof that hidden battery components were examined. If access, weather or terminal rules limit the evidence, state that limitation rather than producing an artificially complete condition checklist.
Prepare the receiving agent and workshop
Send the accepted transport instructions, condition file, access inventory and unresolved items to the receiving party. Arrange the arrival and first-service baseline with an appropriate workshop. Investigate new warnings or apparent damage before driving when safe operation is uncertain, and follow the responsible provider’s actual discrepancy-reporting requirements. Do not promise an insurance outcome from the fact that cover was mentioned in a quotation. The final handover should let the buyer distinguish preparation, transport observations and ownership maintenance without losing the original identity and evidence chain.
